Draft, pending reviewOrders from everywhere: how to bring them into one place
Orders arrive from your website, WhatsApp, Instagram, phone calls and the shop floor. One list, one customer record and one stock count is the only way to keep up. Here is why the mess happens, what a single order list has to do, and how to move to one without losing a single order.

Where the mess comes from
Nobody plans to run orders across five apps. It happens one channel at a time. The shop came first. Then Instagram, with orders in DMs. Then WhatsApp, because customers prefer it. Then the website. Then a phone line for the showroom. Each one worked on its own. Together they produce the same failures every week: an Instagram order forgotten in a chat, a WhatsApp customer asked for their address a third time, a website order shipped after the last piece was sold at the counter, a courier handed a parcel with no invoice. The problem is not your team. The problem is that the order has no single home.
What one order list has to do
The fix is not another app. It is one place where every order lands, whatever channel it came from. That place has to:
- Receive website orders automatically, priced correctly, with stock reserved the moment the order is placed.
- Let staff log a WhatsApp, Instagram, Facebook, phone or walk-in order in seconds: find the customer by phone, add items by search or barcode, choose delivery and payment.
- Keep one customer record per phone number, with the address saved so nobody asks for it again.
- Show the order's status at a glance: new, to confirm, to ship, cash to collect, returned.
- Hold every detail in one screen: items, totals, payments, delivery, tracking number, notes, and the timeline of who did what.
- Print the invoice and the packing slip in the customer's language.
- Deduct from the same stock the website and the counter use.
If any of these is missing, the mess comes back through the gap.
Set up the daily routine
A single list only works if the team uses it the same way every day. Keep it simple:
- The rule: an order that is not in the list does not exist. Every DM, every call, every counter sale goes in before anything is packed.
- Morning: open the New and To confirm views. Confirm, call, or cancel. Nothing stays in New past noon.
- Midday: open To ship. Print packing slips in one batch. Hand them to the packer with the parcels.
- Evening: open Cash to collect. Match what the courier returned against the list. Mark paid.
- Weekly: open Returns. Decide, restock, close.
Give each view an owner. When one person owns To ship, nothing is shipped twice and nothing is missed.
Handle the channels that do not connect yet
Be realistic about automation. Website orders can flow in on their own. WhatsApp, Instagram and phone orders are still typed by a person, in most systems and in Tillo today. That is fine, as long as typing takes seconds, not minutes. The customer lookup by phone, barcode scanning for items and saved delivery rates by governorate make the difference. The channel still shows on the order, so at the end of the month you can see where your sales really came from. Shipping company integration and automatic WhatsApp capture are on Tillo's roadmap. Until then, a tracking number typed into the order and a status updated by staff keeps everyone informed.
Returns and cash on delivery: the two leaks
Two places lose money quietly when orders are scattered. Cash on delivery, where the courier returns money days later and nobody matches it to the right order. And returns, where a piece comes back, sits in a bag by the door and never re-enters stock. One order list fixes both. Every cash order has a status until it is marked paid, so the unmatched ones stand out. Every return is a status on the original order, so the piece goes back on the shelf and back on sale. Check both views every week and the leaks close.
What Tillo does today
Tillo's order list is live. Website orders arrive through the storefront connection, repriced by Tillo, with stock reserved. Staff log orders from every other channel by hand in seconds. Saved views: All, New, To confirm, To ship, Cash to collect, Returns. Search, filters and bulk actions to confirm, mark ready, mark shipped and print. Every order opens to its items, payments, delivery and tracking, timeline, notes, the customer card and a direct WhatsApp chat link. Invoices and packing slips print in A4 or A5, Arabic or English, with a barcode. All of it bilingual, right to left, on the same stock and customer records as the rest of Tillo.
Make the move this month
- Week one: list your channels and who handles each. Decide the owner of each view.
- Week two: enter the products and the customers you already know. Connect the website.
- Week three: run the new list alongside the old chats. Every order goes in both. Compare each evening.
- Week four: switch. Close the notebooks. One list, one truth.
From then on, the question 'did anyone handle that order' has a screen that answers it.
